Salary Range: $55,000 - $60,000

Position Overview:

The Administrative Assistant - Office of the President (AA) reports to the Deputy Chief of Staff and plays a key role in supporting the day-to-day operations of the President’s Office. This position helps keep the office running smoothly by managing communications, coordinating logistics, and ensuring that administrative processes are handled efficiently and professionally. Serving as a first point of contact for the office, the AA manages incoming inquiries, supports scheduling and event coordination, and handles a range of operational tasks that enable leadership to stay focused on institutional priorities.

Responsibilities:

  • Act as the primary point of contact for the President’s Office, managing incoming calls, visitors, and inquiries while directing matters to the appropriate individuals with professionalism and discretion. Partner with offices across campus to coordinate requests, share information, and ensure smooth day-to-day operations.
  • Manage office logistics, including ordering supplies, coordinating service requests, and ensuring the workspace and equipment are functioning effectively. Draft and prepare routine correspondence and materials in support of the President’s Office. Coordinate logistics for presidential and institutional events, including space reservations, invitations, RSVP tracking, guest management, and on-site support.
  • Support the Board of Trustees by preparing materials, organizing information, and tracking follow-up items to ensure continuity and accuracy.
  • Coordinate travel arrangements and process related expenses for the President, Vice President and Chief of Staff, and Deputy Chief of Staff.
  • Maintain organized records and tracking tools that support office operations and communication. Provide general administrative and operational support to the office, stepping in on priorities as needed to ensure work is completed effectively.

Qualifications:

Required:

  • Graduation from an accredited college with a bachelor's degree.

  • Those who do not possess the required education may substitute experience on a year for year basis.

  • Thos who possess an associate degree may substitute two (2) years of position-related experience for the remaining two (2) years of education.

  • Excellent customer service skills.

  • Technical expertise in Google suite, Word, Excel, Access, Zoom, email, calendar programs, etc.

  • Ability to exercise appropriate discretion, judgment and confidentiality in all matters.

  • Excellent verbal and written skills.

Preferred:

  • Two (2) years of professional experience in different aspects of administration.
